Viewing care package line items

You can view Care Package Line Items (CPLI) in the portal once they have been authorised and activated by the Council.

  1. Select Care package line items.
  2. Select View to display all care packages.

    Note: If the care package has an end date more than 28 days in the past, you will need to tick the Include historical box.

  3. The view can also be filtered by using the drop-down menus, before selecting View.

Commissioned care export

You can find information about all commissioned home care services by downloading the commissioned care export.

  1. Select the Actuals or Visits link or tab on the homepage.
  2. Click on Commissioned care export in the 'Bulk Import/Export' list.
  3. Click on Export to download the export to your computer.

Carer and visits bulk import

  1. Select the Actuals or Visits link or tab on the homepage.
  2. Click on Carers bulk import or Visits bulk import in the 'Bulk Import/Export' list.
  3. Select Choose file.
  4. Find the file on your computer. It will appear next to the 'Choose File' button.
  5. Click on the Import button.

The 'Confirm Import' screen will show you the number of records that are:

  • read
  • new
  • updated (if the carer's or visit existing record has been changed)
  • rejected

Error and warning messages explaining why any records have been rejected will appear at the bottom of the screen.

The most common reasons for visits being rejected are:

  • no carer exists with a matching CarerID – the carer on the visits data file is not uploaded to the portal
  • no client exists with ‘SSRef’ – the SSRef on the visit is incorrect

You should correct any errors in your rostering system and upload a corrected file.

If there are no records with errors, click Update system.

A message will appear confirming that the import is complete. Click Return.


Viewing visits data

To view all visits data:

  1. Select the Actuals or Visits link or tab on the homepage.
  2. Select the date in the calendar.

All visits data for that week will be on your screen.

To search for visits for a client, service level or visit:

  1. Select one of the options from the relevant drop-down list above the visits data table.
  2. Click on the View button.
  3. To see details of individual visits, click View next to the visit in the table.
  4. To return to the main 'Visits' screen, select Back.

When visits data is first uploaded, it’s status will be 'New'.

Visits data is processed overnight. The day after the data is uploaded, the status will change.

If the data matches the information in our system, the status will change to 'Matched'.

If the data does not match the information in our system, the visit status will be 'Unmatched'. This may happen if there is a new package of care which has not been authorised.
