Privacy notice - Employability for Supported and Temporary Accommodation & Refuges (ESTAR) public health projects
Overview
The processing of personal data carried out by the ESTAR public health projects available until March 2023.
This includes all information that is requested from beneficiaries to support ESTAR’s delivery partners, to determine eligibility, enrolment details and results of the projects.
Please note that this privacy notice only covers personal data that is processed by the ESTAR public health projects.
East Sussex County Council takes data protection seriously. Please be assured that your information will be used appropriately in line with data protection legislation, will be stored securely and will not be processed unless the requirements for fair and lawful processing can be met.
What information is being used?
and process a very limited range of personal data about beneficiaries in order to facilitate accurate referrals onto one or more of the projects.
This is normally limited to name, phone number and contact email address for the applicant. With the exception of the Leisure Pass project which will operate a self-referral process and will also collect a contact address. If applicants are self-referring on to the Leisure Pass project, in order to help us monitor the impact of the service, they will also have the option of self-assessing against a set of soft outcomes e.g. current perceptions of emotional wellbeing/self-esteem/physical health.
This information is optional and is not a requirement of receiving the service.
How will your information be used?
The personal data of the ESTAR public health project beneficiaries will be used to enable the delivery of a service for operational reasons (such as to provide a delivery partner with essential information to manage a referral). For the Leisure Pass project, it is also required to evidence the outcome service delivery to our Public Health funders.
We aim to maintain high standards, adopt best practice for our record keeping and regularly check and report on how we are doing. Your information is never sold for direct marketing purposes.
Our staff are trained to handle your information correctly and protect your confidentiality and privacy.
Your information is processed in the UK or in a country with an adequacy agreement with the UK.
What is the legal basis for processing your information?
Your consent will be requested to process your data to receive support from the ESTAR public health projects and ensuring compliance with the Europe-wide General Data Protection Regulation (GDPR) as set out in the guidelines by the Information Commissioner’s Office: ‘Guide to the General Data Protection Regulation (GDPR)’.
If beneficiaries no longer wish to take part in the programme and withdraw consent, they can do so. Once a referral has been completed data will be deleted and no longer used.
How long will your information be kept for?
Records from the ESTAR public health projects will be deleted within one week of a referral being made. Soft outcomes data from the Leisure Pass project will be retained until March 2023 to inform the final project evaluation. This data will be deleted by June 2023.
Any further personal data will be retained in line with the East Sussex County Council retention schedule.
Sharing your information
The ESTAR projects are a funded service, commissioned to a range of partners and therefore, it is necessary that we share the details you provide to us with our delivery partners to help you engage with the right project.
The delivery partners for Moving on Up are SCDA Ltd, SCTP Ltd and East Sussex College Group.
The delivery partner for Grow Your Future is Plumpton College.
The delivery partner for In Work Mentoring is SCDA Ltd.
The delivery partner for Wealden Works Employability is Wealden Works.
The delivery partner for Leisure Passes is the Freedom Leisure Centre Trust and Wave Leisure Trust.
These delivery partners will work in compliance with this privacy policy. We may also share the details you provide us with other delivery partners or local authority teams, where you have given us permission to do so. The information shared with one of the named providers above will include name and contact details, including a telephone or email address. Information will only be shared in order to facilitate a referral onto the project.
Any sharing of personal data is always done:
- on case-by-case basis
- using the minimum personal data necessary
- with the appropriate security controls in place
- in line with legislation.
Information is only shared with those agencies and bodies who have a "need to know" or where you have consented to the sharing of your personal data to such persons.
We may use the information we hold about you to assist in the detection and prevention of crime or fraud. We may also share this information with other bodies that inspect and manage public funds.
Your rights
Under data protection legislation, you have the right:
- to be informed why, where and how we use your information
- to ask for access to your information
- to ask for your information to be corrected if it is inaccurate or incomplete
- to ask for your information to be deleted or removed where there is no need for us to continue processing it
- to ask us to restrict the use of your information
- to ask us to copy or transfer your information from one IT system to another in a safe and secure way, without impacting the quality of the information
- to object to how your information is used
- to challenge any decisions made without human intervention (automated decision making)
