Privacy notice - Community Safety Survey
Overview
This privacy notice covers the Community Safety Survey carried out by East Sussex County Council. It applies to anyone who chooses to take part in the survey.
The survey is used to gather feedback from residents about community safety and anti-social behaviour in East Sussex, and to help inform local priorities, planning and service improvement.
Taking part in the survey is voluntary and you can skip questions if you prefer not to answer them.
East Sussex County Council takes data protection seriously. Please be assured that your information will be used appropriately in line with data protection legislation, will be stored securely and will not be processed unless the requirements for fair and lawful processing can be met.
What information is being used?
When you complete the survey, we collect the information you choose to provide. This may include:
- your responses to questions about community safety and anti-social behaviour
- optional equalities information, such as age, sex, gender identity, ethnicity, religion or belief, sexual orientation, and information about long term health conditions or disabilities
- the first part of your postcode (postcode district)
We do not collect names, contact details or other direct identifiers.
Please avoid including names or personal details in any free text responses.
How will your information be used?
Your information is used to understand residents’ views on community safety and anti-social behaviour, and to help inform local priorities, planning and service improvement.
Survey findings are used to produce reports and analysis to support the Community Safety Strategic Assessment and partnership work.
All results are reported in an aggregated and anonymised form.
Your information will not be used for marketing purposes.
We aim to maintain high standards, adopt best practice for our record keeping and regularly check and report on how we are doing. Your information is never sold for direct marketing purposes.
Our staff are trained to handle your information correctly and protect your confidentiality and privacy.
Your information is processed in the UK or in a country with an adequacy agreement with the UK.
What is the legal basis for processing your information?
We process your personal data as it is necessary for the performance of a task carried out in the public interest under Article 6(1)(e) of the UK GDPR.
This is part of the Council’s responsibilities under the Local Government Act 1999, which requires us to have regard to the views of local people, and the Crime and Disorder Act 1998, which requires Community Safety Partnerships to assess and address community safety issues.
Where special category data is collected (for example, equalities monitoring information), this is processed under the substantial public interest condition for equality of opportunity and treatment.
How long will your information be kept for?
Raw survey data is kept for up to 2 years after the survey has closed.
Aggregated and anonymised data may be kept for up to 6 years to support reporting, analysis and service planning.

Sharing your information
We do not share personal data from the survey with external organisations.
Survey findings may be shared with partner organisations in an aggregated and anonymised form only.
We may use trusted service providers to host or process survey data on our behalf. These organisations are required to keep your information secure and only use it for this purpose.
Any sharing of personal data is always done:
- on a case-by-case basis
- using the minimum personal data necessary
- with the appropriate security controls in place
- in line with legislation.
Information is only shared with those agencies and bodies who have a "need to know" or where you have consented to the sharing of your personal data to such persons.
We may use the information we hold about you to assist in the detection and prevention of crime or fraud. We may also share this information with other bodies that inspect and manage public funds.
Your rights
Under data protection legislation, you have the right:
- to be informed why, where and how we use your information
- to ask for access to your information
- to ask for your information to be corrected if it is inaccurate or incomplete
- to ask for your information to be deleted or removed where there is no need for us to continue processing it
- to ask us to restrict the use of your information
- to ask us to copy or transfer your information from one IT system to another in a safe and secure way, without impacting the quality of the information
- to object to how your information is used
- to challenge any decisions made without human intervention (automated decision making)
