This privacy notice covers the ESCC Database of Community-based Social Care in East Sussex
East Sussex County Council takes data protection seriously. Please be assured that your information will be used appropriately in line with data protection legislation, will be stored securely and will not be processed unless the requirements for fair and lawful processing can be met.
What information is being used?
In order to provide information and support service to Community-based social care workers and volunteers working in East Sussex, we will collect and record the following personal data for you:
- name
- telephone number
- geographical location of work (optional)
- role in social care
- email address.
We collect your telephone number and email address so that we can share information with you. We ask for your geographical location of work and your role (including voluntary) in social care so that we can ensure we are sharing the most relevant information to you.
How will your information be used?
The information you provide will only be used as a means for the Council to collect information about the number of community-based social care workers/volunteers working across the County and to distribute information to community-based social care workers/volunteers to support the community-based social care market to deliver care and support.
The information you provide will not be used for any other purpose without your permission. We will not publish your contact details on any websites.
We will use your information to contact you about information and updates related to your work as a community-based social care worker/volunteer.
We will use your contact details to send you up to date information about National Government guidance on Covid-19 or local government guidance related to Covid-19, for example, sharing information about information on Personal Protective Equipment. We will only send information which is relevant to the role of a community-based social care worker or volunteer delivering social care support.
We will also use your contact details to contact you about the East Sussex County Council Community-based Social Care Infection Prevention and Control Project (formerly The Personal Assistant Infection Control Project). This project offers Community-based Social Care workers/volunteers and other unregulated social carers including Personal Assistants the opportunity to receive support and advice from an Infection Control Advisor, to offer reassurance and information on how you can carry out your community-based social care role safely. The Project will also use your information to contact you about events and workshops organised by the Project and about information on how to access Infection Control training courses.
The Project will keep a file of records of any advice sessions held with Community-based social care workers/volunteer.
We aim to maintain high standards, adopt best practice for our record keeping and regularly check and report on how we are doing. Your information is never sold for direct marketing purposes.
Our staff are trained to handle your information correctly and protect your confidentiality and privacy.
Your information is processed in the UK or in a country with an adequacy agreement with the UK.
What is the legal basis for processing your information?
Your consent will be requested to retain your contact details for the purposes as described within ‘How will your information be used’. We will seek your formal permission to add you to the ESCC Database of Community-based Social Care in East Sussex. This permission will also extend to the ESCC Community-based Social Care Infection Prevention and Control Project.
You will be able to un-subscribe from the ESCC Database of Community-based Social Care in East Sussex through a opt out notification process.
The permission and opt out facility will be compliant with Data Protection and General Data Protection Regulations GDPR
How long will your information be kept for?
You are able to unsubscribe from the ESCC Database of Community-based Social Care in East Sussex at any time and your information will be removed from the database once you have notified us of this request.
You information is held under the lawful basis of consent and the contact database will be reviewed every 12 months to ensure data remains accurate and consent remains in place.
Service users will be reminded of their right to unsubscribe at any time during this 12-month review of the contact database.
Sharing your information
Your data will only be used for the purposes of distributing information related to working as a Community-based social care worker or volunteer, or other unregulated social carer in social care in East Sussex and for sharing information about support and training provided by the ESCC Community-based Social Care Infection Control Project.
Any sharing of personal data is always done:
- on a case-by-case basis
- using the minimum personal data necessary
- with the appropriate security controls in place
- in line with legislation.
Information is only shared with those agencies and bodies who have a "need to know" or where you have consented to the sharing of your personal data to such persons.
We may use the information we hold about you to assist in the detection and prevention of crime or fraud. We may also share this information with other bodies that inspect and manage public funds.
Your rights
Under data protection legislation, you have the right:
- to be informed why, where and how we use your information
- to ask for access to your information
- to ask for your information to be corrected if it is inaccurate or incomplete
- to ask for your information to be deleted or removed where there is no need for us to continue processing it
- to ask us to restrict the use of your information
- to ask us to copy or transfer your information from one IT system to another in a safe and secure way, without impacting the quality of the information
- to object to how your information is used
- to challenge any decisions made without human intervention (automated decision making)
