How Children’s Services uses Artificial Intelligence

Children’s Services staff may use artificial intelligence (AI) tools to help our work with education providers, children, young people and families.

The AI tools we use are council-approved, safe and secure. We apply the Council’s Artificial Intelligence Policy. No information is shared outside the Council to train AI.

We may use AI to help with office tasks such as:

  • record or write down meetings, rough notes and discussions
  • draft summaries, notes, records, emails and written material
  • find, check, gather and organise information already held in our records
  • research and prepare before meetings

AI does not replace human experience, skills and judgement. All Children’s Services assessments and decisions are made by professionals.

We always check AI outputs in detail. We edit and improve them. We save the final version to our records.

Using AI for some tasks helps us focus on our support to education providers, children, young people and families. We can give you our full attention in meetings, instead of writing notes. We can spend less time typing up notes and keep more complete records.

Recording meetings

Your choice matters

If we may record a meeting with you, we will ask your permission first before recording. You can say yes or no. You can change your mind at any time. Saying no will not affect the support you receive.

Recordings are used only to help draft written notes and are deleted after records are in place. They are not kept or reused. We do not use recordings or technology to make automated decisions.

Privacy

We take your privacy seriously. We only use secure systems approved by the council. Information is stored safely and only accessed by the right professionals.

We follow strict rules about how your data is used and protected.

If you’d like to find out more about the AI systems we use and how we protect your information, our privacy policy for AI is on the council’s website.
