Library meeting rooms

1. Venues and prices

You can hire a meeting room at 6 libraries across the county.

  • Meeting rooms are available for hire on an hourly basis during Monday to Saturday
  • You need Public Liability Insurance. If you don’t have it, you can buy Hirer’s Liability Insurance from us at 15% of the room hire cost.
  • Laptops are available to hire at some locations for £25 per session.

You can also hire rooms at The Keep in Brighton for a day or half a day. This is ideal if you want something larger for your group, class, meeting or conference, with space for up to 150 people.

2. Making a booking

To book a room you need to:

  • agree to our room hire terms and conditions
  • have Public Liability Insurance for your group or organisation or buy Hirer’s Liability Insurance from us
  • have the relevant licence if your event will include music. If live music is performed you need a Performing Rights Society (PRS) Licence, for recorded music you need both a PRS and a Public Performance Licence.

3. Confirming your booking

When we receive your booking enquiry, library staff will phone you back within five working days to discuss availability and any facilities you need, such as an interactive screen, computers or disabled access. We will either:

  • confirm the room and facilities are available at the time you requested, or
  • tell you that the meeting room you requested is unavailable and offer an alternative.

Signing the booking form

After library staff have spoken to you, we will email you a form containing your booking details. We will also send you information about the venue you requested, including fire procedures.

When you sign and return the booking form to us, your booking is complete.

Arriving for your booking

Please arrive 10 minutes before your booking:

  • to pay for the room by cash or credit or debit card
  • take the tour of the venue and for library staff to show you how to use any equipment you booked.

Remember to bring your insurance documents and any relevant music licences with you to your meeting.

4. Cancellations and refunds

Please tell us as soon as possible if you need to cancel your room booking. If you give less than 14 days notice, we may refuse a refund. Cancellations with less than 7 days’ notice will incur a 50% charge, cancellations with less than 24 hours’ notice will incur a 100% charge.

We may cancel the booking if unforeseen circumstances occur that affect the use of the building.
